Privacy Policy

VPS Host Review operates at vpshostreview.com. This policy explains what information the site collects, how it is used, and what choices you have as a visitor or registered user.

1. Information We Collect

Account information

When you register, we collect your display name, email address, and password. Passwords are stored as a one-way cryptographic hash — we cannot recover the original value. If you choose to register or sign in via Google, we receive your Google account name, email address, and a unique identifier issued by Google. We do not receive your Google password. You may also optionally provide a personal website URL, which is stored against your account and, once approved, displayed on your public reviewer profile.

Certain accounts may be designated as provider representative accounts at the request of a hosting provider. These accounts are linked to the provider's listing on this site and may have access to additional features, such as the ability to view reviews that have not yet been approved, comment on reviews of that provider, and propose changes to the provider's description. The linkage between a provider account and a provider listing is maintained in our database alongside your standard account information. When a provider representative posts a comment on this site, their contribution is publicly labelled with a badge identifying them as a representative of the associated hosting provider. This badge is visible to all visitors and may be indexed by search engines.

User-submitted content

Any content you submit to the site — including reviews, ratings, written comments on reviews, replies to other users, display name changes, provider description proposals, and any other contribution made through features the site provides — is stored in our database. Approved content is published publicly under your display name, where it may be indexed by search engines and appear on third-party websites through embedding or syndication features.

When submitting a review, you may optionally provide details about the hosting plan you reviewed — including CPU count, RAM, storage capacity, storage type, bandwidth allocation, network port speed, and pricing information. These plan details are stored alongside your review and displayed publicly to help other visitors understand the specific plan your experience is based on.

Contact enquiries

Messages sent via the contact form are forwarded by email to our support address. Most enquiry types are not retained in the site database beyond that forwarding. Certain submission types — such as requests to claim or manage a provider page — are also stored for administrative review and follow-up.

Outbound click data

When you click an affiliate or outbound link via any page on this site, the click is recorded along with the page or section from which you clicked. If you are signed in at the time, the record may include an identifier linking the click to your account. This data is used to understand which providers generate visitor interest and to monitor affiliate link performance. It is not used to track your browsing activity outside this site.

Sign-in timestamps

We record the date and time of your most recent successful sign-in for account security purposes. Our application does not maintain server-side logs of the pages you visit or your browsing history. Web analytics services described in sections 2 and 6 do measure page views and session activity on our behalf.

Network request data

Your IP address is processed transiently by the site's security and rate-limiting systems to detect and block abusive or automated traffic. IP addresses used for this purpose are held in memory only and are not stored in the database or linked to your account. They are also passed to Cloudflare Turnstile as part of bot-detection checks on certain forms. Failed authentication attempts may be logged to application log files on the server alongside the IP address for security monitoring purposes; these logs are retained for a limited period and are not used for any other purpose.

Content interactions

When you interact with content on the site — such as marking a review as helpful or similar engagement features — that interaction is recorded against your account. This data is used to surface useful content to other visitors and to understand how the community engages with reviews. It is not shared with third parties for marketing purposes.

Outbound email logs

We maintain operational logs of emails sent to your address, including the type of email (for example, verification, password reset, or notification), delivery status, and timestamps. These logs are used for service reliability, troubleshooting delivery problems, and abuse prevention.

Operational and security data

To keep your account secure and the site functioning, we store several categories of operational data linked to your account:

  • Session data — your active sign-in session is stored on our server (tied to the session cookie described in section 2) so that you remain signed in as you navigate the site. Session records are deleted when you log out or when they expire.
  • Security tokens — short-lived, single-use tokens (for example, for password resets and email address change verifications) are stored temporarily and deleted automatically after use or expiry.
  • Email opt-out identifier — a persistent unique identifier is stored against your account to power the one-click unsubscribe link in notification emails, so you can opt out without needing to sign in.
  • Content moderation records — when a display name, website URL, or other submitted content is flagged for review, a moderation record linked to your account is stored until the review is resolved. When you edit a previously approved review and the edit includes comment changes, the proposed changes are stored separately in a pending edit record. Your original review remains published while the edit is under review. The pending edit record is deleted once the edit is approved, rejected, or cancelled.

Account status and administrative actions

We store data related to the administrative state of your account. This includes whether your account is enabled or disabled, whether your published reviews are visible or hidden from public view, and your assigned role on the platform (such as User, Moderator, Administrator, or Provider Representative). Site administrators may change these settings as part of platform management — for example, to enforce site policies, respond to abuse reports, or fulfil user requests.

If an administrator anonymizes your account, your display name is replaced with a placeholder (such as “Deactivated User”) and your public reviewer profile URL is changed. Your original display name and profile URL are retained internally so they can be restored if the action is reversed. Anonymization also disables your account and hides your reviews from public view.

Public reviewer profile

Each registered user is assigned a public profile page that lists all of your approved content published on the site. This page is publicly accessible and may be indexed by search engines. Your display name, the month and year you joined the site, your published contributions, and your website URL (if you have provided one and it has been approved) will appear on this page for as long as your account is active or until you request their removal. If an administrator anonymizes your account or hides your reviews, your profile page will return a “not found” response and your contributions will no longer appear in public listings until the action is reversed.

Notification preferences

If you configure email notification settings — such as choosing whether to receive alerts when someone comments on your content, replies to your comment, opting into periodic review update reminders, or selecting a daily digest over individual emails — those preferences are stored against your account. You can update or disable notifications at any time from your account settings or via the unsubscribe link included in every notification email.

If you have the review update reminder preference enabled, we may periodically email you to ask whether your experience with a provider has changed since you last submitted or updated a review. These reminders are sent based on the age of your review and your notification preferences. You can disable them individually from your notification settings or unsubscribe from all notifications at any time.

2. Cookies and Session Data

The site sets a single session cookie when you sign in. It identifies your session on the server and is deleted when you log out or close your browser. We do not use advertising cookies or cookies for cross-site ad targeting.

Web analytics services used on this site may set persistent cookies in your browser to measure page views, sessions, and returning visits. These cookies collect information such as the pages you view, time spent on each page, and approximate location inferred from your IP address. They do not collect your name, email address, or any account details. See section 6 for details of the analytics services in use.

Cloudflare Turnstile. The login, registration, forgot-password, and contact forms use Cloudflare Turnstile, a bot-detection service operated by Cloudflare, Inc. Turnstile may set its own cookies or use device signals as part of that check. See the Cloudflare Privacy Policy for details.

Browser local storage. When you begin writing or editing a review, the site saves a draft of your form entries — including star ratings, comment text, and plan details — in your browser’s local storage. This data never leaves your device and is not sent to our servers. Drafts expire and are automatically removed after seven days, or immediately when you submit the form. You can clear saved drafts at any time through your browser’s storage settings.

3. How We Use Your Information

We use the information we hold to:

  • Operate the site and maintain your account.
  • Send transactional emails: email address verification, password resets, and content status notifications (for example, when a review, comment, or review edit is approved, rejected, or returned for revision).
  • Send account security emails in response to account-level events — such as confirming an email address change, alerting your current address when a change is requested, or notifying you when a sign-in attempt is made with your email address. These emails are sent automatically as part of keeping your account secure and cannot be opted out of while your account is active.
  • Send notification emails about activity on your content — such as new comments on your review, replies to your comments, or a daily digest of recent activity — according to your notification preferences. You can opt out of these emails at any time from your account settings or via the unsubscribe link in any notification email.
  • Publish approved content publicly under your display name.
  • Detect and prevent spam, abuse, and fraudulent submissions.
  • Screen submitted content through automated processing services — including third-party tools for content moderation, language analysis, display name screening, and related quality-control functions — as part of the content review pipeline. This applies to any content you submit, including reviews, comments, and display names. The specific services used may change over time.
  • Distribute approved content beyond this site — including making it available via embed widgets, data feeds, or syndication features that allow other website owners to display your content on their own pages. Approved content is public and may appear on third-party websites through these features.
  • Analyse how visitors use the site — using web analytics services to understand traffic patterns, popular content, and user journeys, in order to improve the site and prioritise new features.
  • Enable site administrators and moderators to access account information, submitted content, and provider data as necessary for content moderation, quality assurance, and operational management of the platform. This includes disabling or re-enabling accounts, hiding or restoring review visibility, anonymizing or de-anonymizing accounts, and changing user roles.
  • Send administrative action emails when your account is disabled, anonymized, or otherwise modified by an administrator, so that you are aware of changes to your account status.

We do not use your email address for unsolicited marketing emails or commercial promotions.

4. Affiliate Links and Commission Disclosure

Some outbound links on this site are affiliate links. When you visit a hosting provider through one of these links and make a purchase, we may earn a commission paid by the provider. You pay nothing extra.

Affiliate relationships have no influence on review scores, editorial rankings, or the content of any review on this site. Rankings are determined entirely by scores submitted by registered users.

5. Information We Do Not Sell

We do not sell, rent, or share your personal information or email address with any third party for marketing or commercial purposes. This applies to all registered users regardless of location.

6. Third-Party Services

The following third-party services operate on parts of this site:

  • Google OAuth — optional sign-in method. Subject to the Google Privacy Policy.
  • Web analytics services — The site uses third-party analytics tools to measure traffic and understand how visitors use the site. These services receive page view data, session information, approximate geographic location derived from your IP address (which is not stored in full), and device and browser signals. They may set persistent cookies in your browser. Your data is processed in accordance with the relevant service's privacy policy. Currently Google Analytics 4 (operated by Google LLC) is in use; the specific service may change over time without requiring a separate revision to this policy. See the Google Privacy Policy for details on how Google processes analytics data.
  • Cloudflare Turnstile — bot protection on login, registration, forgot-password, and contact forms. Subject to the Cloudflare Privacy Policy.
  • Email delivery service — Outgoing emails (verification links, password resets, notifications, and all other account communications) are sent via a third-party transactional email provider. That provider receives recipient email addresses and email content solely for the purpose of delivery. It is not authorized to use this data for its own independent purposes. The specific provider used may change over time without requiring a separate revision to this policy.
  • Automated content processing services — Any text you submit to the site — including reviews, comments, display names, and contact messages — may be passed to third-party services for automated analysis. These services may perform functions including content moderation (currently powered by OpenAI’s moderation API), spam detection, language identification, translation, and similar quality-screening tasks. Each service receives only the text being analysed and returns a classification or result; they are not authorized to retain or use your content for their own independent purposes beyond performing the requested function. The specific services engaged for these purposes may change as the platform evolves. This policy covers any service used for automated content processing, regardless of provider, without requiring a separate revision for each individual service change.

When you follow an outbound link to a hosting provider, that site's own privacy practices apply. We have no control over, and accept no responsibility for, the privacy practices of any third-party site reached through links on this site.

7. Data Retention

Account data is retained for as long as your account remains active. Published review content becomes part of the permanent public record of the site and is retained after account deletion; it continues to display under your original display name unless you request its removal at the time of deletion.

If an administrator anonymizes your account, your reviews are hidden from public view but are not deleted from the database. Your original display name and profile URL are retained internally to allow restoration if the action is reversed. If you request account deletion while anonymized, the same removal options apply as for any other account.

Outbound click records are retained for up to 24 months for analytics purposes and may be aggregated or anonymised after that period.

To delete your account, contact us. We will process deletion requests within a reasonable time.

8. Your Rights

If you are located in the European Union, the United Kingdom, or California, you have rights under applicable law to request access to, correction of, or deletion of personal data we hold about you. Submit these requests via the contact page.

For California residents: we do not sell personal information as defined under CCPA, so no opt-out mechanism is required. You may submit a data access or deletion request at any time using the contact form.

This site is operated from servers located in the United States. If you are accessing the site from the European Union, the United Kingdom, or any other jurisdiction outside the United States, please be aware that information you provide may be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using this site you consent to that transfer and processing.

9. Policy Updates

We may update this policy periodically. Material changes will be reflected in a revised effective date at the top of this page. Continued use of the site after a revised policy is published constitutes acceptance of the changes. When we make a material change — one that meaningfully affects how your data is collected, used, or shared — we will send a notification to the email address registered on your account before or at the time the change takes effect.
